Instructions for Gmail, Outlook, and Apple Mail
This guide provides step-by-step instructions to help you add an embedded credential image to your email signature. Whether you want to include a clickable link to your credential's validation page or simply add the image as a professional touch, follow these easy steps tailored for Gmail, Outlook, and Apple Mail.
For Gmail
1. Adding the Credential Image Without a Link:

Open Gmail and click the gear icon (⚙️) in the top-right corner.

Select "See all settings".

Navigate to the "General" tab.

Scroll down to the "Signature" section.

Select an existing signature or click "Create new" to make a new one.

In the signature editor, click the insert image icon.
- Upload the credential image you downloaded.

2. Adding the Credential Image With a Hyperlink:
- Follow steps 1–7 above to add the image.
- Highlight the credential image in the signature editor.
- Click the insert link icon.
- In the "Web address (URL)" field, paste the link to the validation page of your credential.
- Click OK to save the link.
- Save changes at the bottom of the page.
For Outlook (Desktop and Web)
1. Adding the Credential Image Without a Link:

Open Outlook and go to File > Options > Mail.

Click Signatures in the "Compose messages" section.

In the Email Signature tab, select an existing signature or click New.

Place your cursor where you want the image to appear.

For Outlook Web (Office 365):
- Go to Settings (⚙️) in the top-right corner.

- Save your changes.
2. Adding the Credential Image With a Hyperlink:
For Outlook Desktop App:
- Follow steps 1–5 from the "Without a Link" section above.
- Right-click the image and select Hyperlink.
- Enter the URL of your credential’s validation page in the "Address" field.
- Click OK to apply the link.
For Outlook Web (Office 365):
- Follow steps 1–5 from the "Without a Link" section above.
- Select the image in the signature editor.
- Click the Link button.
- Paste the validation link in the URL field and click Save.
For Apple Mail
1. Adding the Credential Image Without a Link:
- Open Apple Mail and go to Mail > Preferences > Signatures.
- Select an existing signature or create a new one using the + button.

Note: When downloading the PNG version of your badge, it will default to 1,500 x 1,500 pixels, but you can resize it using the tools mentioned below.
For Windows Users
Use the built-in "Photos" app:
- Open the Photos App:
- Press the Windows key, type “Photos,” and open the app.
- Open Your Badge:
- Navigate to the badge file, double-click it, or right-click and select Open with > Photos.
- Resize the Badge:
- Click the three dots in the top-right corner and choose Resize image.
- Specify pixel dimensions or percentage changes.
- Save the Resized Badge:
- Click Save to create a new file.
- Recommended sizes: 100 x 100 pixels for email signatures.
For Mac Users
Use the "Preview" app:
- Open Preview:
- Locate your badge file, right-click, and select Open with > Preview.
