Step 1: Basic Details Section

This guide walks you through each part of the Basic Details section when setting up your first credential on Virtualbadge.io.

The Basic Details section is the foundational step in creating a credential. It collects key information that will define your credential’s identity and presentation. Completing this section accurately ensures your credential is clear, professional, and effective.

Fields to Complete in the Basic Details Section

1. Credential Name

  • What it is: The official title of your credential. It is publicly visible to everyone, such as when shared on social media or displayed on the validation page.
  • Tip: Choose a clear, descriptive name that reflects the achievement or certification.

  • You also have the option to convert the Credential Name (Help doc) into a dynamic field, allowing it to be automatically included in emails, certificate templates, and validation pages. This field can be populated from either an API or a CSV upload, providing flexibility in how you manage your credential data.

2. Internal Name

  • What it is: An internal naming convention for the credential, used exclusively by administrators or team members within the software. This name is for their reference only and will not be visible to recipients.

3. Collection

  • What it is: Collection refers to a designated folder where you can organize and group this credential. You can create/select a collection from the tab available here or on the dashboard.

4. Upload Business Logo (Optional)

  • What it is:  You can upload your organization’s logo here. If you have already added it in the organization settings, it will appear automatically in this section. If not, you can upload it directly. Please note that changes made to the logo at the credential level will not affect the logo set in the organization settings.

5. Social Media Mode (Optional)

  • What it is:  Choose whether you want your recipients to have the option to share their credentials on various social media platforms. It is important to make this selection before proceeding to the next steps, as it can be adjusted later after saving the Basic Details section.

6. Issue Date (Optional)

  • What it is:  Specify whether you would like the issue date to reflect the date the credential email is sent or to be a fixed date. Please note that this setting can be modified through an API or CSV upload.

7. Expiry Date (Optional)

  • What it is: Determine whether you would like the expiry date to be set as the date the credential email is sent or as a fixed date. Please note that this setting can be overridden by an API or CSV upload.

8. Website URL (Optional) 

  • What it is: Link to your organization's website or a custom webpage—this URL will be displayed on the validation page.

9. Contact Email Address

  • What it is: Credential emails are typically sent from the Virtualbadge.io domain. When recipients respond to these emails, their replies will be directed to the email address you provide in this section, ensuring their inquiries are addressed promptly.

  • Therefore, we recommend including an email address of someone who actively monitors their inbox and manages the virtualbadge.io account to ensure timely responses to any inquiries.

10. Slugs (Optional) 

  • What it is: There are two types of slugs to consider: the Organization slug, which typically represents your company name, and the Certificate slug, which corresponds to the name of the credential. To learn more about slugs, click here.

Finalizing the Basic Details

Once all fields are filled, review your inputs for accuracy and clarity. These details are key for your credential’s presentation and communication. After saving, you can move on to the next steps of customizing and issuing the credential.
